DM automations and the AI bot

Keyword DMs, catch-all replies, and the AI bot that holds a whole conversation

Two kinds of automation answer DMs. A keyword automation matches a word and runs a fixed chain of steps. An AI bot keeps a conversation going, answering from your documents, until the person is done or asks for a human.

Keyword DMs

  1. Automations → New, choose DM keyword (Instagram or Messenger) or WhatsApp keyword.
  2. Enter the keyword and the match type. Choose any message to catch every DM that no other automation matched.
  3. Add steps: a reply, a question with Capture input, a Condition on new contact or tag, and lead updates.

Arolead routes each incoming message in this order: a keyword automation, then an open AI bot session, then an any-message catch-all. Specific always beats general.

The AI bot

The bot is a single automation that Arolead creates for you when you turn on auto-reply on an AI brain, and it is fully editable afterwards. It works on Instagram DMs, Messenger and WhatsApp.

  • It answers from the documents attached to the brain. See AI knowledge and replies.
  • It keeps one open session per person, so every later message routes back to the same conversation with memory of recent messages.
  • It hands off when the person types an exit word (defaults: "bye", "goodbye", "exit", "end chat", editable up to 20), asks for a human, asks the same unanswered question repeatedly, or when the model fails. Handoff flags the lead as needs attention, and the bot stays quiet for that person until you resume it.
  • Replying to the person from the inbox also pauses the bot. Resume it from the lead's panel with one click.

Costs and limits

AI replies use AI credits from your plan's monthly pool, 3 credits per reply, or run unmetered on your own API key on Starter and above. The bot and knowledge-grounded answers need Starter or higher.
